The Education Committee assists the Pastor with operation of Immaculate Conception School as guided by the CISVA Parish Education Policy Manual.
The Education Committee is comprised of the Pastor, the Chairperson and six other members (five elected and two appointed by the Pastor). Eligibility, term of office and responsibilities are outlined in the Manual.

The Education Committee meets monthly.
The Principal participates in each meeting and submits a written operational report. A Teaching Staff Representative, elected by the staff for a one year term, also participates in each meetings (except “in camera” sessions) and presents a report.
Requests for non-members to speak at these meetings must be in writing and received by the Principal, Pastor and Chairperson at least seven days in advance of the scheduled meeting.
Extra-ordinary meetings may be required and may be called by the Chairperson as needed.
Members may also serve on subcommittees, when necessary, and such subcommittees may also require additional roles, which may be permanent or temporary. Permanent role descriptions for the Chairperson, Secretary, Treasurer and Staff Representative are listed below.

Chairs all meetings of Parish Education Committee.
Prepares a meeting agenda with Pastor and Principal.
Ensures that a quorum is present.
Ensures that policies and decisions of the Education Committee are executed.
Makes available to all members information distributed by the CISVA Central Office.
Processes all Education Committee correspondence.
Represents the PEC at Parish Council meetings.
Ensures that all duties of Education Committee officers are executed.
Is a signing officer on Education Committee documents.
To be Acting Chairperson in the event of the Chairperson’s absence.
To be the Society delegate/representative.
To carry on any other duties as assigned.
Records and reports the receipt of all monies received by Immaculate Conception School as income or disbursed for school expenditures on behalf of either The Catholic Public Schools of Vancouver Archdiocese or Immaculate Conception School.
Ensures that all monies described above are held and operated in bank accounts under the title of The Catholic Public Schools Archdiocese or Immaculate Conception School.
Shares responsibility with the Pastor for the supervision of bank accounts under the above named titles.
Ensures that an effective accounting/bookkeeping system exists to properly and accurately record all financial transactions operated in any manner whatsoever under the above titles.
Is a signing officer on all Immaculate Conception School bank accounts.
Coordinates the preparation of an annual budget in consultation with the Pastor, other PEC members and the Principal.
Submits a monthly printed financial report to PEC members.
Ensure proper and thorough reporting and documentation of all committee-meeting proceedings.
Takes attendance at all committee meetings.
Duplicates and circulates to all members of the committee the minutes of previous meetings.
Ensure the minutes are received by members at least one week prior to the next regular meeting.
Collects reports from sub committees.
Replies to and processes Education Committee correspondence in consultation with the Chairperson.
Files all correspondence, minutes and reports.
Attends PEC meetings and provides a report.
Acts a liaison between the PEC and staff.
